COINS mGRN Mobile app- solving the problem of three way matching

A new app from COINS-mobile makes it possible for construction site operatives to generate Goods Received Notes (GRN) on site and automatically send them back electronically to head office procurement systems.

Capturing and matching the GRN from remote sites has always been a challenging process for procurement managers.  In the three-way matching of purchase order, GRN and invoice, the GRN is always the most challenging as all too often it gets left in a back pocket, or worse still, becomes lost.

From a handheld device or PDA, the COINS-mobile mGRN app downloads all the open materials purchase orders for that contract or location. When a delivery arrives, the user identifies the PO and opens up the order. The supplier delivery note number, quantity delivered and other information are entered.  The user then has the option to enter a cost code reference, type in notes about the delivery or take a photo of a damaged or problematic item.

The user adds his signature before submitting the GRN on his mobile device which comes back to COINS Procurement or other back end system in real time. The mobile GRN is automatically recorded against PO line items and allocated a sequential GRN reference.  If there is no mobile signal, the data is stored until there is one.

Information about goods delivered onto site is received from site immediately, accurately and completely - saving administrative time and clerical errors as no re-keying of information is required. The timely receipt of information allows problems or disputes to be acted on quickly and with evidence at hand.
